Executive Position Descriptions
Executive Positions
President
| Role: The President's role is to oversee the organisation of all events, to chair meetings, to ensure that other Executive members are adequately fulfilling their roles, to act as the official spokesperson of the Society, and to take a leading role in the planning of the year's activities. The President's role is not so much to undertake all of these functions him/herself, but rather to effectively delegate tasks to other Committee members and ensure the smooth running of the Society's events.

Qualities: This person must be extremely organised, have the ability to delegate tasks, be an effective leader and communicator, and be a confident public speaker, willing to meet guest speakers on behalf of the Society. Vice-President Role: The Vice-President is primarily responsible for corresponding and coordinating with other university societies. The Vice-President also plays a role in the planning of the year’s activities, as well as the day-to-day running of the Society. The Vice-President also supports the President when necessary. Qualities: This person must be extremely organised, have the ability to delegate tasks, be an effective leader and communicator, and be a confident public speaker.

| Secretary Role: The Secretary's role is to be responsible for receiving and replying to all correspondence on behalf of the club, to organise meetings, agendas (with consultation with the President), and minutes, to keep relevant club papers in order, and to coordinate elections.

| Qualities: This person must also be extremely organised, as there is often a fair amount of correspondence which must be replied to, and, moreover, must have the ability to effectively communicate him/herself on paper. This person should also have regular access to email in order to check and respond to emails sent to the Society.

| Treasurer Role: The Treasurer's role is to keep and maintain all club financial records, to hold cheque books, petty cash tins etc., to keep the club informed of its financial position (at meetings, through regular e-mail reports, or regular newsletters) and to carry out financial transactions as directed by the club management. This will potentially involve Internet Banking, Phone Banking, and correspondence with the Bank itself.

| Qualities: The Treasurer must have some knowledge of financial statements in order to effectively maintain the Society's accounts. This person may also have to apply for ARC subsidies, in conjunction with the ARC Delegate.

| ARC Delegate Role: The ARC Delegate must be aware of the ARC funding system, its requirements and its possibilities for the club (This knowledge can be gained from the thorough reading of the ARC Society's Handbook, and from hands on experience), communicate with the Executive before and after the each ARC meeting to pass on information (about grants etc.), liase with the ARC Department/Activities Coordinator and the club's executive, have a good working knowledge about ARC forms, clear out the club's pigeonhole in the ARC Clubs Resource Centre at least every two weeks, and attend ARC meetings or get someone to stand in, or send advance apologies.

| Qualities: This person must be available to attend regular ARC meetings, and, in addition, be able to fill out forms requesting subsidies etc for the all events run by the Society. This person must also report back to the Society on the progress of these claims.

General Executive
Role: General organisation of Society events, promoting of upcoming events, and assistance in the everyday running of the Society. General Executive will receive portfolios after being elected as members of the General Executive. These portfolios include:
First Year Representatives (3 Positions)
Role: Three First Year Representatives are elected at the EGM in March of each year. These positions are essentially General Executive positions reserved for first year students. The Society believes that these positions are extremely important; as it is the first year executives that will go on to lead the Society in later years. Thus all first year members are encouraged to apply - we are looking for motivated people to continue the Society into the future!
